Vintara Stays respects your privacy. This Privacy Policy explains what personal information we collect when you visit www.vintarastays.com, make an enquiry, or book a stay with us, how we use it, and the choices you have.

Vintara Stays is operated by Vintara Stays ("Vintara Stays", "we", "us", "our"), with its office at Office 202, Gera Garden, Building No. 1, Koregaon Park, Pune – 411001, Maharashtra, India.

This policy is published in accordance with the Information Technology Act, 2000 and its rules, and the Digital Personal Data Protection Act, 2023 and the rules made under it, as applicable.

1. Information We Collect

1.1 Information you give us

• Enquiries and bookings: name, phone number, email address, travel dates, number of guests, and any special requests.

• Payments: billing details needed to complete a payment. Card and bank details are entered directly with our payment partner and are not stored by us.

• Guest verification: A government-issued photo ID at check-in, as required by law and local police regulations. For foreign nationals, this includes passport and visa details for mandatory Form C reporting.

• Communication: messages you send us by email, phone, WhatsApp, website chat or contact forms.

• Property owners: if you list your villa with us, your name, contact details, and property information.

1.2 Information collected automatically

When you browse our website, we and our website platform collect basic technical information such as IP address, browser and device type, pages visited, and approximate location, through cookies and similar technologies.

1.3 Information we do not collect

We do not seek or knowingly collect sensitive information such as health records, biometric data, or information about religion, caste or sexual orientation.

2. How We Use Your Information

We use your information only for the following purposes:

• To respond to your enquiries and share availability, pricing and property details.

• To confirm, manage and fulfil your booking, including check-in arrangements with the property.

• To process payments, refunds and Future Credit Notes.

• To send booking confirmations, reminders and important updates about your stay.

• To meet legal obligations, such as guest registration and tax records.

• To prevent fraud and protect the safety of our guests, staff and properties.

• To understand how visitors use our website so we can improve it.

• To send offers and updates, only if you have agreed to receive them (see Section 6).

3. Sharing of Information

We do not sell your personal information. We share it only where needed, as follows:

• Property owners, managers and caretakers: your name, contact number, stay dates and guest count, so they can prepare for and manage your stay.

• Service providers: the companies that help us run our business, including our website and booking platform (Wix), our payment gateway (Razorpay), and messaging services such as WhatsApp and email. They may use your information only to provide their service to us.

• Legal and government authorities: where required by law, court order, or for guest registration and police verification.

• Business transfers: if our business is restructured, merged, or sold, your information may transfer to the new entity under the same protections.

Bookings made through third-party platforms such as Airbnb, MakeMyTrip, or Booking.com are also governed by that platform's own privacy policy.

4. Cookies

Our website uses cookies to keep the site working, remember your preferences, and understand how visitors use it. We also use analytics and advertising tools such as Google Analytics and Meta Pixel to measure our marketing. You can block or delete cookies in your browser settings, but some parts of the website may not work properly.

5. How Long We Keep Your Information

We keep personal information only for as long as needed for the purposes above:

• Booking and payment records: as long as required by tax and accounting laws.

• Guest ID and registration records: for the period required by law.

• Enquiries that did not lead to a booking: up to 12 months, then deleted.

• Marketing preferences: until you unsubscribe.

When information is no longer needed, we delete it or make it anonymous.

6. Marketing Communications

We send offers and updates only if you have agreed to receive them. You can unsubscribe at any time using the link in our emails, by replying "STOP" on WhatsApp, or by emailing book@vintarastays.com. Unsubscribing does not affect messages about an existing booking.

7. Your Rights

You have the right to:

• ask what personal information we hold about you and how we use it;

• ask us to correct or update inaccurate information;

• ask us to delete your information, unless we must keep it by law;

• withdraw your consent at any time, without affecting anything done before you withdrew it;

• nominate another person to exercise these rights on your behalf in the event of death or incapacity;

• raise a grievance with us (Section 10) and, if you are not satisfied, approach the Data Protection Board of India.

To exercise any of these rights, email book@vintarastays.com. We may need to verify your identity before acting on your request.

8. Data Security

We use reasonable security practices to protect your information, including secure (encrypted) website connections, trusted payment partners, and limiting access to staff who need it for their work. No method of transmission over the internet is completely secure, but we take care to protect your information and will act promptly if a breach occurs, including notifying affected guests and authorities as required by law.

9. Children

Our booking services are for adults aged 18 and above. Children may stay with a parent or guardian who has made the booking. We do not knowingly collect personal information directly from children.
